General Responsibilities

Administrative Assistant (Payroll Focus)

General Responsibilities:

Hertz is currently seeking a highly skilled and motivated administrative/payroll assistant. The successful candidate will be responsible for processing the weekly payroll for hourly staff. In addition, the individual filling this position must also possess excellent interpersonal and communication skills with the ability to interact with individuals at all levels of the organization, including senior management in a high energy and fast paced environment while exercising good judgment and discretion when handling confidential matters.

Responsibilities include but are not limited to the following:

  • Process weekly payroll for hourly staff within the Montreal area

  • Compile and process payroll data such as vacation time, earnings, other deductions, and taxes for multiple divisions in compliance with Statutory Regulations and Labour Standards

  • Process employee terminations, salary increases and employee status changes

  • Provide payroll related information as required by Operations and Senior Management

  • Draft and distribute communications, memos, confidential letters to employees, disciplinary and termination notices, and confirmations of employment

  • Issue records of employment for extended absences and terminations, and respond to all inquiries from Service Canada regarding Montreal current and past employees

  • Manage Workers’ Compensation files, submit yearly employer statement of wages, and handle all communication with the CNESST

  • Provide support to managers and staff regarding the correct interpretation and application of company policies and collective agreements, and resolve disputes

  • Handle onboarding of new employees: completion of payroll and company procedure forms, introduction to the facilities and their teams, initiating the new hire online training, and requesting all logins necessary for their role

  • Organize and maintain payroll and employee files in accordance with the Company record retention policies

  • Track vacations / leaves of absence by maintaining updated calendars, seniority lists, and staff reports

  • Assists in audits of payroll or payroll systems

  • Advanced Proficiency in Microsoft Word, Excel, Outlook, Lotus Notes, and Lotus/Outlook Calendar.

  • Handling of both inbound and outbound correspondence via mail, fax, email, phones.

Mandatory Requirements

Mandatory Requirements:

  • Excellent interpersonal and organizational skills (great at following up and file organization)

  • Positive demeanor; attitude and professional appearance

  • Excellent communication skills both oral and written.

  • Canadian payroll association PCP certificate achieved or in progress with a commitment to complete

  • 1 - 2 years of payroll experience

  • Demonstrate a strong attention to detail and analytical skills

  • Ability to meet tight deadlines

Preferred Requirements

The ideal candidate must be able to work flexible hours Monday to Friday.
