The Hertz Corporation Fleet Ordering Analyst in Oklahoma City, Oklahoma
Work closely with our Estero team to coordinate valid and timely Franchise/Licensee new car orders.
Configure, monitor and maintain the allocation of new vehicle purchases for our Franchise/Licensee program. (Working closely with the OKC Fleet Order Team to ensure the contractual corporate allocations are offset by the Franchise/Licensee allocations.)
Responsible for the order coordination with the OKC Fleet Order Team, Dealer network and Manufacturers to ensure all purchases are tracked to completion.
Run and validate ordering reports throughout the process to ensure accuracy of orders placed.
Responsible for weekly order to delivery ETA estimates to be communicated to each respective Franchise/Licensee.
Key Result Areas
Prioritize and manage time to ensure all deadlines are met and that data is accurate.
Effective and professional written and verbal communications with all parties involved in the ordering process.
Timely and accurately building and assignment of model mixes for Franchise/Licensee allocations of new vehicle requests and coordinating with OKC Fleet Order Team to ensure our corporate contract model mix requirements and timing are being met.
Prepare and analyze daily, weekly, monthly reports and distribute.
ETA delivery estimates
Monitor order allocations to maintain timely progression of orders.
Track pending orders to ensure placement made once permitted.
Ensure all reference files are up-to-date and accurate:
Color charts for each model being ordered
Update/Maintain model mix reference file per Franchise/Licensee per manufacturer contract for current program year
Track order cancellations and ensure notifications are sent to Estero, Franchise/Licensee and order information is coordinated with Fleet Order Team
Work closely with Fleet Accounting and Dealer Network to ensure 3 way match is complete and POs are closed timely and properly.
Continuous process improvement reviews of allocation and ordering process.
Special projects as assigned by management
- Bachelor Degree or equivalent
- Experience in leadership and organizational skills are required as well as knowledge of rental or business fleets and/or the automotive industry
Automotive manufacturer processes
Knowledge of Fleet Systems (Tandem FOS, CARRENT, ASAP, VISION) or external automotive Fleet ordering or asset management process
Purchasing experience and or payables experience
Ability to communicate professionally and effectively with all levels of company personnel and vendors
Must be comfortable with pulling data from the internet and compiling data
Excellent organizational skills and ability to set priorities as well as handle multiple tasks
Detail oriented, must be very accurate and able to pay great attention to details
Must be an independent worker, good at taking ownership of a process and able to work with minimal supervision

Proficient with Microsoft Excel and working knowledge of Access or other reporting tool(s)
